Course Fee Payment and Refunds Policy and Procedure

1. Purpose

The purpose of this policy is to outline the payment process, refund eligibility, and procedures related to course fees for students enrolled in our educational institution. It covers both on-site and online courses, training programs, and certificate courses.

2. Scope

This policy applies to all students, including those attending face-to-face classes and virtual sessions.

3. Definitions

  • Course Fee: The total sum of tuition and non-tuition fees for a course.
  • Course Start Date: The commencement date of the course.
  • Pre-paid Fees: Fees collected before the relevant services have been provided.
  • Non-tuition Fees: Including equipment, materials, administration, and assistance related to students.
  • Minima: The minimum required number of participants to run a course.

4. Payment Options

  1. Payment Methods:
    • Students can pay their course fees via bank transfer, credit/debit card, or exceptionally in cash.
    • The institution will provide clear instructions for each payment method.
  2. Pre-paid Fees:
    • Fees must be paid in advance before the course start date.
    • Students will receive a Confirmation of Enrolment (CoE) upon successful payment.

5. Refunds

  1. Refund Eligibility:
    • Refunds are possible during the registration opening period.
    • Students who withdraw after the registration period and before the course start date might be eligible for a refund on a case by case basis and provided  their withdrawal does not affect the minima of the selected course.
    • Non-refundable fees (e.g., administrative fees, processing fees) may apply.
  2. Refund Process:
    • Students must submit a written request for a refund.
    • Refunds will be processed within a specified timeframe (30 days).
    • Refunds will be made to the original payment method.

6. Transfers

  1. Course-to-Course Transfers:
    • Students, upon availability, may transfer from one course to another during the registration period.
    • Any difference in fees will be adjusted accordingly.
  2. Person-to-Person Transfers:
    • Transfers between individuals are allowed as long as the course hasn’t started and subject to the institution approval.
    • The institution must be notified in writing of the transfer.

7. Cancellation

7.1. Cancellation by students

  1. Cancellation Policy:
    • Cancellation is not possible after the course has started.
    • Students who wish to cancel must do so before the course start date.
  2. Penalty Fees:
    • Between the end of registration and the course start date, each case will be reviewed.

7.1. Cancellation by the Institution

The center will notify learners of the course cancellation at least 15 days prior to the course start date.

  1. Reasons for cancellation:
    • Low enrollment.
    • Program changes.
    • External factors
  2. Refund:
    • Students will be informed about course cancellation and information will be provided about the refund timeline and procedure.

3.      Transfer:

  1. Students might be offered the option of transferring to another course (if available).
  2. Administrative fees associated with transfers will be specified.
  3. Students to approve the course transfers.

8. Course Postponement

  1. Postponement Reasons
    • Low Enrollment:

In cases where enrollment for the course didn’t reach the minima, the institution may consider postponing the course to a later date. In this case, the learners will be notified of the course postponement at least 15 days prior to the course start date.

  1. Force Majeure:

In case of a force majeure affecting the premises or course trainer, the institution may consider postponing the course to a later date. In this case, the institution will inform the learner as soon as the decision is taken.

  1. Communication:
    • Notify enrolled students about the postponement as soon as possible.
    • Provide clear information on the new start date and any adjustments to the course schedule.
    • Offer alternative options (e.g., transferring to another course, refund process).
  2. Refunds and Transfers:
    • Apply the same refund and transfer procedures as for cancellations.
    • Students who cannot accommodate the new schedule may request a refund or transfer.

–          Can I change my exam entry and /or cancel?”

Written exams on paper or on-screen (at a centre or via remote invigilation)

If you wish to amend your exam booking this can be done via MyCII or MyPFS dashboard. You can:

  • make changes until the exam booking closing date.
  • amend, cancel or postpone your booking to the next available session, subject to space being available.
  • make these changes free of charge.

After the exam booking closing date you can cancel your exam and receive an examination voucher up until 48 hours before the exam date (but you cannot rebook into the same session).

You cannot withdraw after these dates except in the case of illness. Applications will not be considered without medical evidence. Please note that self-certification is not acceptable and the CII will not reimburse any costs involved in obtaining medical evidence.

Multiple choice exams (at a centre or via remote invigilation)

If you wish to amend your exam booking you can do so free of charge up to 48 hours before your exam sitting date via MyCII or MyPFS dashboard.  

No changes can be made to your entry later than 48 hours before your exam sitting date.

You cannot withdraw after these dates except in the case of illness. Applications will not be considered without medical evidence. Please note that self-certification is not acceptable and the CII will not reimburse any costs involved in obtaining medical evidence.
